Scanpst.exe - What is it and How Does it Work

Scanpst.exe is a file that is installed automatically alongside any default Microsoft Windows operating system setup. As per default system settings, this file is hidden, in order to avoid accidental removal. Even if Microsoft Outlook is one of the most frequently used email clients, its standard user database .PST files can manifest certain problems. Scanpst.exe is the file that stands behind the functionality offered by Microsoft Inbox Repair Tool, the primary software used to analyze and fix Outlook related problems.

In most of the cases, problems related to PST or OST files lead to the corruption of various Outlook related folders and data. In order to recover such items using Scanpst.exe, it is first required to run the Inbox Repair Tool, also known as Scanpst.exe, in order to diagnose and repair errors. In order to have access to Scanpst.exe, it is required to make sure that hidden files and folders are visible on your computer, for the reason that Scanpst.exe is a hidden file present by the default Windows operating system install.

In order to locate Scanpst.exe, PC users can either use Find or Search (depending on the version of Window that they are running) or attempt to manually locate the file. One of the most common places in which Scanpst.exe can be found is C:\Program Files\Microsoft Office\OFFICE12 (C:\ being the default drive of Windows install, however, it can be different as per user requirements).

Once Scanpst.exe has been located, it is required to double click the file in order to execute it. Once Scanpst.exe has started, it is required to click on Browse in order to locate the PST file. After the PST file has been located using Scanpst.exe Browse function, it is required to click on Start in order to have Scanpst.exe diagnose and report if any errors have been found. After the process is complete, click on OK in order to finalize the procedure.

After Scanpst.exe has been used to identify and fix errors that have been found within the PST or OST file, normal operation of Outlook can be resumed. In the default folder list, it is possible that certain recovered folders will now be visible in the “Lost and Found” section. However, items that are not visible in the “Lost and Found” listing may be beyond repair capabilities of Scanpst.exe.

Prerequisites before you can use the Scanpst Tool

First you will need to unhide system files. Take note that at the end of this process you may want to turn off this feature and hide these system files so no one deletes anything by accident.

Show hidden files in Windows Vista and Windows 7

  • Click Start, then select the control pannel.
  • Click Appearance and Personalization.
  • Click Folder Options.
  • Click the View tab.
  • Under Advanced Settings, click Show hidden files and folders, and then click OK.

Remeber to turn this feature off when you are done!

Show hidden files in Windows XP

  • Start Windows Explorer. " Take note this is Windows Explorer and not Internet Explorer. Just Open up the My Computer Icon.
  • On the Tools menu, click Folder Options.
  • Click the View tab.
  • Under Hidden files and folders, click Show hidden files and folders, and then click OK.

Remeber to turn this feature off when you are done!

For Vista and Windows 7

Please note the Outlook needs to be closed for this to work.

Find the Outlook .pst file

  1. Click Start, type control in the Start Search box, and then press ENTER.
  2. If you see Control Panel Home view ( this is on the to, far left section ), click User Accounts and Family Safety.

    If you do not see Control Panel Home view, go to step 2c.
  1. Click Mail.
  2. Click Data Files.
  3. Click Personal Folders, and then click Settings.

    Note If there are no Personal Folders services in your profile and if you can store information such as messages, contacts, or appointments in Outlook, your information is most likely being stored in a mailbox on an Exchange Server. If this is true, information is typically backed up on the server. Contact the Exchange Server administrator for more information.
  4. Note the text in the Filename box.

    Note You may have to click in the Filename box and then use the right-arrow key to view all the text.
  5. Click OK, and then click Close two times.

Step 3: Find the Inbox Repair Tool

  1. Use one of the following methods, as appropriate, for the version of Outlook that you are running.

    Note If you are unsure which version of Outlook that you use, open Outlook, click the Help menu, and then click About Microsoft Outlook to see the version.
    • Microsoft Outlook 2002

      Click Start

  1. Find and then double-click SCANPST.EXE to start the Inbox Repair Tool.

Step 4: Use the Inbox Repair Tool

Please note you should make a backup copy of the PST file before you attempt a repair. This is to ensure you do not do any more damage to the file then whats already been done.

  1. In the Enter the name of the file you want to scan box, type the path and file name of the Outlook .pst file that you found in step 2.
  1. Click Start.

After the Inbox Repair Tool operation is complete, click OK.

Remember to hide those system files again. Just revirse the top instructions and you will be good to go.

As always you should make a backup of the PST file before you attempt a repair. Save it to a location like "documents" so you know were it is at.
